Creating a seating chart in Templett is straightforward if you’re comfortable working with browser-based design tools like Canva. Our seating chart templates come in multiple table layouts so you can start with a configuration that’s close to your table count, without having to build the layout from scratch. This guide walks you through the editing process so you know exactly what to expect.
Prepare Your Guest List
Before you open Templett, have your guest list ready in a document you can copy from, whether that’s a spreadsheet, Word doc, or anything else that lets you highlight and copy text. It’s best to have your guests already sorted by table so you can work through them easily.

Copy and Paste Your Guest Names
Our seating chart templates are made up of text boxes, usually one per table, so you can copy (Ctrl+C) your names directly from your document and paste (Ctrl+V) them into Templett. If your seating plan is organised by table number, this is a quick process.
Alphabetical layouts may take a little longer, as the spacing and line breaks can shift depending on name lengths, so allow some extra time to tidy things up as you go.
A reminder: Templett doesn’t autosave. Click the Save button after every change.

Typography
Text boxes in Templett expand downward as you type. If you have longer names, they may get pushed to the next line. Try widening the text box by expanding it to the right so everything fits on one line.
If your names aren’t fitting comfortably, try adjusting these settings:
- Font size — Go smaller to fit more in, or larger to fill extra space.
- Line height — Decrease it to tighten the gap between names, or increase it to spread them out.
- Letter spacing — Decrease it to bring characters closer together, or increase it to spread them apart.


Changing Fonts
You can change the fonts in your template to suit your style. To update multiple text boxes at once, hold Shift and click each one, then apply your chosen font from the toolbar.

Align Objects Tool
If you’ve moved elements around and need to straighten things up, Templett’s Align Objects tool makes it easy to realign multiple elements at once. Hold Shift and click each element you want to align, then click the Align Objects icon in the toolbar. You can align your selection to the left, right, or centre.
For example, if a whole column of tables is sitting slightly off, select everything in that column and choose Centre to line them up evenly.

Downloading Your Completed Seating Chart
Once you’ve finished creating your seating chart, click the Download button and select PDF as your file format.
For professional printing, turn on Show bleed before clicking Download. Your file will save as a one-page PDF, ready to send to your printer. Most printers we’ve worked with do not require trim marks, but if yours does, simply switch on the option before downloading.

Creating a seating chart sign with a template is a pretty quick process once your guest list is ready. One final tip: make sure your text is legible from a distance. Having readable text and good contrast between your font colour and background goes a long way to avoiding a bottleneck at the venue entrance.
